Start by scoping it to the handful of forums where leverage is highest. The second design choice is simple: approved context only. A private agent should pull from a limited corpus leaders already trust, such as calendars, invites, selected documents, prior decision memos, and a small library of risk and control prompts. It should generate three primary artifacts: a meeting brief, a decision memo draft, and a follow-through log. Everything else is secondary.
Third, governance must be native, not bolted on. A credible agent operates inside the enterprise perimeter with SSO, role-based access, encryption, and clear retention. It should minimize what enters the model context, redact sensitive terms where needed, and log material outputs. For important topics, it should link back to source documents so executives and risk partners can verify quickly. The point is to build confidence through traceability, not to pretend mistakes will disappear.
Finally, adoption must be treated as behavior change, not rollout. The fastest way to kill value is to ship a tool and hope leaders will figure it out. A four-week habit program is usually enough to establish new rhythms: pre-briefs that reduce prep time, decision memos that make meetings decisive, and a single action tracker that keeps commitments visible. Done well, leaders stop asking, “Where is that note?” and start asking, “What decision are we making, and who owns what next?”
